Wanda Hiller (“I”, “me”, “my”) is committed to protecting your personal data and respecting your privacy. This policy explains what information I collect, how I use it, and your rights under UK data protection law.

2. What data I collect and why
Contact form enquiries. When you use the contact form on my website, your name, email address and message are collected. This data is stored by Squarespace (my website host) and forwarded to me by email. I use this information solely to respond to your enquiry. The legal basis for this processing is legitimate interests – you have contacted me requesting a response.
Discovery call bookings. When you book a free discovery call, you provide your name, email address and chosen appointment time via Calendly. Calendly processes this data to schedule and confirm the appointment. I use this information to prepare for and conduct the call. The legal basis is contract – taking steps at your request prior to entering into an agreement.
Client session records. If you become a client, I keep brief session notes to support the continuity and quality of our work together. These notes may include details you share about your personal circumstances, family history and health. This constitutes sensitive personal data (known as special category data under UK GDPR). The legal basis for processing this data is your explicit consent, which I will ask for before we begin working together.
Website analytics. Squarespace collects anonymised data about how visitors use my website, including pages visited, time spent on site and general location. This helps me understand how the site is performing. No personally identifiable information is collected through analytics.
3. Third party processors
I use the following third party services that may process your personal data:
Squarespace Inc. My website is hosted by Squarespace, which processes data submitted via the contact form and collects anonymised website analytics. Squarespace is certified under the EU–US Data Privacy Framework and provides appropriate safeguards for data transfers. You can read their privacy policy at squarespace.com/privacy.
Calendly LLC. Discovery call bookings are managed through Calendly, which processes your name, email address and appointment details. You can read their privacy policy at calendly.com/privacy.
I do not sell, rent or share your personal data with any other third parties.
4. How long I keep your data
Contact form enquiries – retained for 12 months from the date of your last contact, then deleted.
Discovery call records – deleted within 30 days if you do not go on to become a client.
Client session notes – retained for 7 years from the date of our last session, in line with professional practice guidance, then securely destroyed.
Anonymised website analytics – retained by Squarespace in accordance with their data retention policy.
5. Your rights
Under UK GDPR, you have the following rights in relation to your personal data:
Right of access – you can request a copy of the personal data I hold about you.
Right to rectification – you can ask me to correct inaccurate or incomplete data.
Right to erasure – you can ask me to delete your data in certain circumstances.
Right to restrict processing – you can ask me to limit how I use your data.
Right to object – you can object to my processing of your data where I rely on legitimate interests as the legal basis.
Right to withdraw consent – where processing is based on your consent, you can withdraw it at any time. This will not affect the lawfulness of processing carried out before withdrawal.

6. Sensitive personal data
As a Family Constellations practitioner, the information you share with me during sessions may include details about your mental health, family history, relationships and personal experiences. This constitutes special category data under UK GDPR and is afforded additional protections.
I process this data only with your explicit consent, use it solely to support our work together, and store it securely. I do not share it with any third party without your consent, except where required by law or where there is a serious risk of harm.
7. Data security
I take reasonable steps to protect your personal data from unauthorised access, loss or disclosure. Session notes are stored securely and access is restricted to me alone. Email communications are conducted via standard encrypted email.
Please be aware that no method of transmission over the internet is completely secure. Whilst I do my best to protect your data, I cannot guarantee absolute security.
8. Cookies
My website uses cookies – small text files stored on your device – to enable the site to function and to collect anonymised analytics data. You can manage your cookie preferences using the cookie banner displayed on your first visit to the site.
